Here’s the key part leaders often miss: if you don’t give people an approved way to use AI, you don’t stop adoption – instead you push it underground.
And you create a second problem: talent drift.
Your best people know that AI matters for their careers. They can see where work is heading. If they can’t build those skills safely inside your organisation, they’ll do it on their own time… and some will eventually move somewhere else that supports them properly.
So yes, you need guardrails around AI. But you also need to enable you team to use AI effectively and safely.
A practical approach:
Pick an approved toolset that covers the everyday jobs people actually want help with (such as writing, summarising, searching and drafting)
Choose one process with real value and run a small proof of concept to automate it with AI. Implement sensible controls (think about data handling, human review, hallucination management, and a way to measure whether it’s genuinely better)
Keep the conversation open about reskilling and role changes – if you don’t, people will fill the silence with anxiety
Key question: if you ran one AI proof of concept next month, what workflow would you pick and what i’s the one guardrail you wouldn’t compromise on?
